Your privacy is hugely important to us here at Y Prentis. We want you to be confident that the information you give us when using our website or any of our services is safe and secure. In this Privacy Policy we’ll explain how we use it.

We’ll also tell you how and why we collect your personal information, your rights and choices when it comes to these details, as well as the steps we take to keep it secure and confidential.

Y Prentis’s servers, and those of the processors we use, are based in the UK or European Economic Area (EEA).

Purposes and legal basis for the processing.

Newsletter
We collect your email address when you register to receive our newsletter. We use this to send you our newsletter which is usually six times a year, but sometimes we may send a special edition when we have something really important to share with you. This doesn’t happen very often, but If we decide to change the frequency of this then we will tell you. We have a legitimate interest in keeping you informed about the services we offer.

An apprenticeship with us
If you wish to enter into a contract of employment with us then we will collection personal information about you, including your employment history, education history. If successful, we will may also need to carry out pre-employment check (references) and collect bank details.

Applying for a job with Y Prentis
When you apply for a job with Y Prentis, this will be conducted through the Melin Homes website. Via this website, we will collect personal information to maintain contact with you and in order to enter into a contract of employment with you. We will also collect information about your skills, qualifications and employment history and details of referees.

We collect your name, email address and telephone number when you contact us through our contact form so that we can respond to you appropriately.

Newsletters and marketing
Our newsletters contain information about Y Prentis and the latest opportunities we offer that we believe will be of interest to you. If you are an apprentice, partner or a shareholder of Y Prentis then there is a relevant and appropriate relationship between you and us, so the legal basis for processing your personal data is ‘legitimate interest’. If you would prefer not to receive Y Prentis’s newsletters you may object to this type of processing. We will not share your personal data with any other marketing organisation.

An apprenticeship with us
Processing is necessary for the performance of, or setting up of, a contract (of employment) between you and Y Prentis.  If you want to apply for an apprenticeship with us, this is done on an entirely voluntary basis and will be based on your consent.

Applying for a job with Y Prentis
Processing is necessary for the performance of, or setting up of, a contract (employment) between you and Y Prentis. We may also ask if you would like us to keep your email address to notify you of new jobs as they become available.

 We will not share your personal data with any other marketing organisation.

An apprenticeship with us
We will share your personal data with employers who are part of the Y Prentis shared apprenticeship scheme and with CITB (Construction Industry Training Board). We have some legal obligations to share information about your earnings with HMRC.

Applying for a job with Y Prenis
We will share your personal data when seeking references. We may ask that you complete a Disclosure and Barring Scheme application.

We will not share your personal data with any other organisation.

Period of time that the data will be stored

Newsletters and marketing
We will store your contact information until you no longer wish to receive newsletters or communications from us.

An apprenticeship with us
We retain information about our employees for seven years. If you applied to work with us but did not become an employee, we will keep your application for two years.

Applying for a job with Y Prentis
Application forms, shortlists and interview notes are retained for one year. If you are an employee of Y Prentis, employee related information will be kept for seven years from when employment ceases.

Contact form
We will hold your details for 60 days. After this time the personal data you submitted will be deleted.

The right to rectification, erasure, restriction, objection.

You have the right to ask us –

  • For access to the information we hold about you;
  • To correct (rectify) any inaccurate data;
  • To permanently destroy (erase) any data we are processing about you;
  • To temporarily stop (restrict) processing information about you;
  • To permanently stop (object to) processing data about you.

While you have the right to ask for this, we may not be able to comply with your request. For example, the processing may be necessary for the performance of a contract with you, or because it is necessary for compliance with a legal obligation. If we cannot agree to your request we will tell you why.

The right to data portability.

Your right to data portability allows you to move, copy or transfer personal data easily from one IT environment to another in a safe and secure way, without affecting its usability.

This right only applies to information you have provided to us and that is held in a digital format by us.

The right to withdraw consent at any time.

You may withdraw your consent to us processing your personal data at any time by contacting enquiries@yprentis.co.uk

Remember that not all processing needs your consent, for example, the processing may be necessary for the performance of a contract with you, or because it is necessary for compliance with a legal obligation. We will let you know what processing will stop if you withdraw your consent.

The right to lodge a complaint with the supervisory authority.

If you have concerns about the way that Melin Homes is treating your personal data you may make a complaint to the Information Commissioner’s Office.
